    how long you drive it This is also true for when buying any large purchase I used to buy large pieces of equipment for hotels for example sake let use a convection oven which uses dry heat and steam to cook You could buy a gas oven and an electric oven with almost the exact same specification the major difference was that the gas oven at the time would set you back an extra 3000 now to the untrained eye that would look like a great saving However the running cost which is the cost of using the machine i e energy cost the gas oven will be much more efficient and cost you less to run the machine so over the life on that machine it will save you more money when all things are considered So the thinking is do I want short term gain over the long term efficiencies Or do I want to save over the long term to ensure as much profitability over the life of the machine Another example of this is what the product can do During my purchasing days I spent a considerable amount of time working out costs on different things and doing much due diligence before buying In other words what they actually cost or what is the impact on the bottom line I recall a large project I undertook to buy chemicals I removed a company as they were selling me 25 litre containers of chemical for x and another company came in and said they would give me the same container at half x I thought this was fantastic as I would save half the money so I quickly made my decision and moved Now let s look at this 6 months on and when I was re looking at my spend on chemicals I noticed that not only had my spend not gone down it had gone up This as you can imagine angered me and I needed to find out why The why is this it does not matter how big the product is it only matters what the product can do The first 25 litre drum was capable of doing 2 and half times the job of the new product which meant instead of making a saving on price I was losing my shirt as I needed to use well over double the product to do the same job From that learning and when I applied it to my next deal with chemicals it brought in a saving in year 1 of 150 000 and then when I re did it 2 years later it saved a further 30 000 Not bad for getting the full facts wouldn t you agree From that experience I always ensure I know what the running cost are bring it back to a cost that is real so that you really are comparing an apple with an apple before I part with my cash In conclusion always take into

    Units purchased 5 Unit Price 6 Total spent This course of action starts a number of ripples into effect 1 Your supplier will stand and take attention in many cases prices reductions are imminent and price increases are pushed back 2 You will have a document that will assist you to work out what are your most important purchases and which ones have the biggest effect on your profitability Adopt the 80 20 3 The information can now be used to 1 enter a tender process which makes it easier to have multiple suppliers vying for your business and you can ensure you have the best possible deal in place 4 Before engaging with suppliers follow my simple 6 step formula which I found very beneficial when I was the Stock Quality and Purchasing manager for one of Irelands leading hotel chains the formula is as follows RS S CT RB PTA MC Massive WIN for your company RS Reputable supplier you need to be sure that you are dealing with someone whom is trustworthy the majority of businesses are S Service i e they can get what you need when you need it in an efficient and friendly manner it amazes me how many delivery personal have lost companies large orders just by being rude to employees CT Credit Terms when changing suppliers it is imperative to get your current terms at least matched if not you will create a cash flow problem by paying 2 at the same time RB Reciprocal business is your supplier capable of giving you business and how formal can that process be if you have 2 suppliers what is their commitment to you PTA Price term agreement you won t have the time to watch costs every day so agree a timeframe for how long agreed pricing will hold in other words that There will be no increases during that period and of course should markets change and priciest go down the know on effect will be expected If all boxes have been ticked you can engage with a new supplier or keep with existing suppliers knowing you have the best deal you can get in place I have yet to see where this process does not yield more money to the bottom line MC Marketing Contribution this will only apply if you have a considerable volume of goods being purchased at least 200 000 When this is the case a contribution towards your marketing costs can be sought after all you will be working to promote your business to sell your suppliers products Once you have the volume information to hand it is now important to sort them into highest volume and value This will make sure you know what is most important to your business the 80 20 rule is very important Spend your time on the 20 of produces that you spend 80 of your money on This is not an exact science but the amount of times I have
